Office Administrator City of Tacoma
The Media and Communications Office is seeking a candidate with experience performing advanced, diverse administrative and organizational functions in an efficient, accurate and courteous manner. This individual will provide high-level administrative support to the Media and Communications Manager. The incumbent will work directly with staff to relay guidance and direction regarding assignments, maintain a high level of confidentiality in all tasks, be highly responsive and exhibit a professional appearance and demeanor. Strong time management, organizational skills and the ability to work independently in a self-directed manner is required. This individual has the delegated authority to represent the Media and Communications Manager on her behalf when absent. Regular and predictable attendance is a must.
Assist the Media and Communications Manager in the development and monitoring of the office's budget; create and maintain budget reports to ensure timely monitoring of expenses within budget guidelines.
Work with staff to obtain approvals for purchases and facilitate payments.
Prepare agendas for meetings.
Coordinate busy and shifting calendar for the Media and Communications Manager to include scheduling and coordinating meetings, and applying sound judgment in determining priority appointments.
Facilitates a high level of trust; handles confidential and proprietary information appropriately.
Effectively communicate with external and internal audiences in person, over the phone or via email, answering and/or directing inquiries.
Establish and maintain effective working relationships with internal and external audiences.
Work with TV Tacoma Cable Communications & Franchise Manager to coordinate equipment upgrade projects including processing contracts and purchases.
Provide assistance and support on special assigned projects.
Serve as the Telecom Coordinator.
Coordinate with Human Resources on all personnel actions.
Prepare and maintain accurate records of personnel related paperwork, including requests for leave, change of status, and personnel requisitions; assist in the preparation of employee performance appraisals.
